Academic Forgiveness
The Academic Forgiveness Policy allows Gaston College students who have experienced academic difficulty at Gaston College to have one opportunity to have grades below a "C" excluded from the cumulative grade point average (GPA). Academic difficulty is defined as less than a 2.00 cumulative grade point average at Gaston College. This policy provides for raising the cumulative grade point average by excluding all grades of "D" or "F" earned prior to the date of eligibility for Academic Forgiveness. A student may be granted Academic Forgiveness only once. For a complete list of criteria, benefits and provisions of Academic Forgiveness click here for the Petition of Academic Forgiveness. Completed forms should be returned to the Office of the Registrar. Our office will assess your petition then send it to the divisional dean for review. You will be contacted by the Office of the Registrar following the dean’s decision.

Adding a Class
Students can add a class to their current schedule throughout the semester during various registration periods. To find what classes are available go to the current schedule of classes. To add a class students may access WebAdvisor, register in-person or by the telephone registration system. Payment is due the same day of registration. Sample form attached: Add Form.

Address Change
A request for a change of address must be submitted in writing to the Office of the Registrar. Change of Address forms are available in the Office of the Registrar, or at the following link Address Change Form. This form may be returned via fax at (704) 922-2344.

Alert/Suspension
Any student who maintains less than a 2.00 grade point average is placed on Academic Alert. The Office of the Registrar will notify any student placed on Academic Alert. Students placed on academic alert are required to meet with their assigned advisor or a member of the Counseling Center no later than the end of the Drop/Add period of the current term in order to develop a plan for removing the Alert status. If after two successive terms the Academic Alert status has not been removed, the student will be placed on Academic Suspension and will not be allowed to re-enroll at Gaston College for one semester.
Students placed on Academic Suspension who feel that certain circumstances which led to the academic difficulty have changed, may appeal their Suspension status by completing the attached form. Forms are also available in the Office of the Registrar. Students are encouraged to contact the Office of the Registrar for deadline dates regarding academic appeals. All appeals should include a realistic plan to achieve good academic standing, recognition of the problems that have affected the academic progress, and a plan to resolve those problems. If the appeal is approved, students will be allowed to register and continue their enrollment. Gaston College may prescribe additional requirements as a condition of re-admission.
Students on Academic Alert or Suspension and who receive financial aid must see a Financial Aid Specialist before any aid can be reinstated. Approval of Academic Appeal does not guarantee approval of financial aid reinstatement.

AP Credit
College credit is awarded to students who achieve a score of "3" or higher on an AP (Advanced Placement) exam, administered by the College Board. Scores older than five years are not considered for transferred credit. In order to have scores reviewed, students must request for an official score report to be sent to Gaston College from the College Board. Our CB code is 5262. Auditing a Class
Students who audit a class receive no credit but are encouraged to attend class, participate in class discussions, and take examinations. To audit a course a student must be registered for the course and pay for the course before completing the audit form. The form must be signed by the instructor and returned to the Office of the Registrar by the eleventh week of the class (fall and spring semesters) and by various times during the summer semester. The published deadline date to audit a course is available in the Gaston College Calendar.Once declared, an audit status cannot be reversed. Sample form attached: Audit.

Gaston College is a member of the Charlotte Area Educational Consortium, which includes 24 additional area colleges and universities. A cross-registration program provided by the consortium allows Gaston College students to take certain courses at other colleges if not available at Gaston. CLEP Credit
College level credit is awarded for students who provide official CLEP (College Level Examination Program) results to the Office of the Registrar from the College Board. Scores of 50 or above on subject examinations are required for college credit. (No credit is given for the general examination.) College Tech Prep
In order to receive college credit for high school courses through the College Tech Prep program, students must receive a grade of "B" or higher in the designated high school course, receive a raw score of 80 or higher on the standardized post-assessment examination, and must enroll at Gaston College within two years of their high school graduation date. The official high school transcript and all official standardized post-assessment examination scores must be received by the Office of Admissions to be considered for college credit. Course Repeat Policy
A student may repeat a course to attempt to raise their grade point average. If the original course was taken at Gaston College, it must also be repeated at Gaston College in order to honor the repeat policy. When a course is repeated, both courses will remain on the academic record, but only the highest grade is used in computing the grade point average. Students may repeat a course for credit no more than three times within a five-year period. A student may not re-enroll in a course in which credit by exam (CE) has been awarded.

Credit by Exam
A student may petition the course instructor and department chair for permission to seek course credit by examination. If both grant permission, the Department Chair, upon the student's successful completion of the exam, will notify the division dean and the Office of the Registrar of the outcome of the exam by the end of the third week of class. The student must be registered and have paid for the course for which examination is requested. To have credit entered in the student's record, the examination must be completed during the first ten days of the semester. A grade of "CE" will be earned as a result of successful completion of the examination. The student may take the examination for a class only one time. Although credits by examination will be applied toward graduation requirements, quality points are not computed for a grade of "CE." Dropping a Class
To drop a class a student must fill out a drop form either in person, by accessing WebAdvisor, or accessing the telephone registration system, by the 10% point of each semester. A student may be eligible for a 100% refund if the class is dropped prior to the first official day of the semester. A 75% refund may be given if a student drops on or before the 10% point of the semester. A drop is different from a withdrawal. With a withdrawal, the 10% point has passed and there is no refund. Enrollment Verifications
All requests for student enrollment verifications must be made in writing. The request must contain the student's signature before any information is released. These requests may be sent or faxed to the Office of the Registrar. (Fax: (704) 922-2344). There is NO charge for this service. The following information should be included in an enrollment verification request:
- Student's full name
- Student's social security number
- Complete address where enrollment verification is to be mailed OR include a fax number if information is to be returned by fax
- Student's signature

Family Rights and Privacy Act- Release of Student Information
Gaston College has a long-standing commitment to the protection of students' rights and privacy of information. Gaston College complies with the provisions of the Federal Family Educational Rights and Privacy Act of 1974, State of North Carolina Law, and the State Department of Education Division of Community College rules. These federal and state requirements relate to accessibility and confidentiality of student records.
Gaston College Policy & Procedures Manual, section 4-31, Confidentiality and Access of Student Records, provides pertinent and detailed information concerning classification of student records. Detailed information is also provided in the Gaston College Student Handbook.
Students have the right to inspect their educational records and correct such records, if warranted. Students are protected from release of information without written consent. All student records are open for inspection and review by the student unless he or she waives this right. The parent(s) of a dependent student as defined in Title 26 U.S.C.S.S. 152 Internal Revenue Code, also has the right to inspect records that are maintained by the College on behalf of the student. Proof of dependency must be on record with the College or provided to the Office of the Registrar prior to reviewing the records.
There are three categories of records: Directory Information Records, Limited Access Records, and Sole Possession Records.
Directory Information Records, which may be made public, include a student's name, address, telephone number, date of birth, major field of study, dates of attendance, and degrees received. This information will only be released after the requestor has demonstrated a legitimate need to have such information. Any student not wishing the release of directory information must file a written request with the Office of the Registrar no later than the last day of Late Registration. Otherwise, the College may disclose directory information for legitimate purposes.
Limited Access Records pertain to the permanent academic records of the student, disciplinary records, financial information, and testing data. The college will not release information in Limited Access Records without the written permission of the student.
Sole Possession Records pertain to records of instructional, supervisory, and administrative personnel that remain in the sole possession of the maker and are not accessible or revealed to any other person.

Final Grades
Grades may be accessed at the end of each semester by using WebAdvisor. Students who have an outstanding account balance or other overdue college materials will not have access to their final grades. A copy of a student’s final grades may be picked up in the Office of the Registrar.

Students who need extra time to complete the objectives of a course because of unusual circumstances such as extended sickness or hospitalization, may receive a grade of "I." The incomplete grade is not computed in the grade point average. However, if the "I" is not changed by the twelfth week of the following semester, it will be converted to a grade of "F." |

Graduates with Honors
Excellence in academic work is recognized at graduation by the award of honors rank. For graduation with honors, a student must have a cumulative grade point average of 3.50 or above but below 3.80. For high honors, a student must have a cumulative grade point average of 3.80 or above. Eligibility is determined using the student’s cumulative grade point average at the end of the previous semester before graduation requirements have been met. Graduates will receive an honor cord to wear at the graduation ceremony.

Graduation
A commencement ceremony, to award degrees and diplomas, is held once a year at the end of the spring semester. (This is the only commencement ceremony.) Students that complete requirements in the summer and fall semesters will be given the opportunity to participate in the spring ceremony. All potential graduates will need to fill out an Application to Petition for Graduation when their academic requirements have or will be met. Applications are available in the Office of the Registrar. Deadlines to petition are published in the Gaston College Calendar.

Graduation Application Procedures
Students are required to file an Application for Graduation with the Office of the Registrar. The application deadline is listed in the Gaston College Calendar. Late applications will be processed in the following semester. The following steps must be taken before submitting the application:
- You must complete an application for each degree and/or diploma you expect to receive. Pick up an application and student copy of your transcript in the Office of the Registrar.
- Present the application (section 1 filled in) along with a current transcript to your divisional dean’s office for their signature. (Arts & Sciences, Industrial and Engineering Technologies, Health Sciences, Business & Computer Science) Pick up your application from the dean’s office and complete the next steps before submitting it to the Registrar’s Office.
- Take application to the Placement Office for clearance. (Dalpiaz Student Success Center)
- Take application to the bookstore (Myers Center 1st floor) for gown and cap measurements or notify them of your non-attendance.
- Pay Graduation Fee, Business Office (Myers Center Auditorium side). Fee is $45.
- Take application to the Financial Aid Office for clearance. (Myers Center 2nd floor)
- Final step, submit your application to the Office of the Registrar. (Myers Center 2nd floor)

Graduation Requirements
Requirements for the degree, diploma, or certificate will vary according to the
curriculum. Students should refer to their particular program requirements. A 2.00 grade point average is required for graduation from Gaston College. At least 20 semester credit hours for an associate degree or diploma must be completed in attendance at Gaston College. Courses numbered less than 100 do not count for graduation credit.

Honors Lists
President’s List
The President’s List is an honor roll for students who earn a grade point average of 4.00 on 12 or more semester hours of work (not including CE credits) in any given semester and with no Withdrawals or Incompletes recorded.
Dean’s List
The Dean’s List is an honor roll for students who earn a grade point average of 3.50- 3.99 on 12 or more semester hours of work (not including CE credits) in any given semester and with no grade lower than a “B” and no Withdrawals or Incompletes recorded.
Honor’s List
The Honor’s List is an honor roll for part-time students who earn a grade point average of 3.50 or higher on 6 to 11 semester hours of work (not including CE credits) in any given semester and with no Withdrawals or Incompletes recorded.

Name Changes
Students are responsible for notifying the Office of the Registrar when a change occurs in a student’ s legal name. Students requesting a name change in their Gaston College records must complete a Name Change Form, located in the Office of the Registrar, and provide the office with legal documentation for a change of name. Legal documentation can include but is not limited to a driver’s license, social security card, marriage license, adoption record, or divorce certificate.

A part time student is one who carries 11 or less semester hours of credit.

PIN (Personal Identification Number) used Registration
A PIN is required in order to utilize the Telephone Registration system and WebAdvisor. After meeting with an academic advisor or counselor, students are provided their PIN. Refund Policy
A 100% refund of tuition may be given if a student officially drops a class(es) prior to the first official day of the semester. A 75% refund of tuition may be given if a student officially drops a class(es) prior to or on the 10% point of the semester. All paperwork for the dropped classes must be processed prior to or on the 10% point. No refunds will be given after the 10% date. If a course fails to materialize, refunds are automatically processed. The drop date is published each semester in the Register.
(The refund policy is subject to change. Refunds of tuition will be issued in accordance with the current state and college policy.) Refund checks will be mailed within six weeks of the last drop-add day.
Students called to active military duty may be allowed special provisions for refunds. Contact the Registrar for Active Duty Provisions.

Registration Access
The access date to register through WebAdvisor, in person, or by the telephone registration system is based upon the number of hours a student has completed. Students with the most hours and closest to graduation have access to the registration system earlier than those students just starting their program at Gaston College. The student’s advisor will provide the PIN (Personal Identification Number) and registration access date during the advising session.

Registration Process
Students who wish to register for curriculum courses at Gaston College must submit an application for admission and meet appropriate admissions requirements prior to registering for a course. Contact the Office of Admissions (704) 922-6214 for further information. Once the admissions process has been completed, students should meet with an academic advisor or counselor to select courses. Students may register during various registration periods. Payment is due for all courses by a specific date for the upcoming term. See the Gaston College Calendar for a complete list of dates.

Registration: In Person
Students may register in person during the various registration periods for each semester. If registering in-person, returning students in declared majors should register in their division. New students, special credit students and pre-health science students can register in the Counseling Center.

Registration: Late
Late registration is held in-person on one scheduled day prior to the beginning of the semester. The late registration date can be found in the Gaston College Calendar or contact the Office of the Registrar for specific dates and times. (704) 922-6232. Students who register or make adjustments to their schedules during Late Registration must pay all registration fees the same day as registration.

Registration: Telephone
The Telephone Registration System is available to students at several designated times throughout each semester for the next upcoming semester’s classes. See the Gaston College Academic Calendar for exact dates. In order to utilize the telephone registration system, students must have applied for admission, met appropriate admissions requirements, and have been advised by a counselor or academic division. In addition, students should have no outstanding financial obligation or overdue library materials. Students must obtain their PIN (Personal Identification Number) from their advisor or counselor in order to access the telephone registration system. Student ID Cards
Although not required, student photo ID cards are made in the Campus Police Office on Tuesdays 9:00-11:00 a.m., 1:00-3:00 p.m. and Wednesdays 9:00-11:00 a.m., 4:00-6:00 p.m. The first photo ID card is free. A replacement photo ID card is $10.00. Photo ID's are made for current curriculum students only. Students must provide the Campus Police Office with proof of current student class schedule. Student Identification Number
A student ID number is assigned to all students who apply at Gaston College. This number takes the place of the student’s social security number. Every student should memorize their student ID number for quicker access to student services.

Student Schedules
Students who register for curriculum classes may access their schedules on WebAdvisor. A student schedule is also available in the Office of the Registrar. Valid picture ID is required. Students should check their schedule for fees owed and correct class day and time.

Transcript
A transcript is an exact copy of the student’s academic record at the time it is issued. The transcript can be an official copy or a student copy. Official copies are used for entrance to other colleges and for job interviews. Student copies are personal copies.
There is a $5 charge per official copy. There is no fee for a student copy. If you have an outstanding financial obligation to Gaston College, your transcript will not be released under any circumstance!

If you last attended DURING or AFTER the Fall 2006 semester, login to WebAdvisor to request an Official Transcript.
If you last attended PRIOR to Fall 2006 semester, complete the Online Official Transcript Request. Before your transcript can be released, you must complete and sign the Authorization to Release Official Student Transcript Form.

Include your name, signature, social security number or student ID number, phone number, and where to mail official transcript. Include a money order for $5 per copy. Personal checks and credit cards are not accepted by mail.

Transfer Evaluations
A transfer credit evaluation is provided for each student with prior college work when the following conditions have been met: A student must have an application for admission on file with the Office of Admissions, all official transcripts from each college/university attended must be received. Transfer evaluations are not issued for students in Special Student Status. Students must earn at least 20 semester credit hours of their course work at Gaston College in order to receive a degree or diploma from Gaston College. Unit of Credit
Gaston College operates on the semester system. The college, as part of the North Carolina Community College System, converted to the semester system during the summer session of 1997. All credits earned prior to summer 1997 are listed as quarter hour credits. All credits earned in subsequent terms are semester credits.

Visiting Students
Students from other colleges and universities who wish to take a course(s) at Gaston College in order to transfer the work back to their home institution must complete an application for admission and provide an approval letter from their home institution to take a course(s) at Gaston College. Students should be prepared to present proof of pre-requisites that have been completed prior to enrolling at Gaston College. Once the above criteria have been met, students can contact the Office of the Registrar (704) 922-6232 to obtain their PIN in order to utilize the Telephone Registration system.
Students who attend Gaston College and wish to take a course at another college or university for credit towards their Gaston College degree, must complete the Transient Study Form, have it approved and signed by their divisional dean. The completed form should be returned to the Office of the Registrar at Gaston College for the official stamp & seal of the College before the form is submitted by the student to the visiting school or by accessing WebAdvisor.

Withdrawal Process
Withdrawing from a class is different from dropping a class. After the 10% point of the semester, no refunds are given. A student must complete a Withdrawal Form in the Office of the Registrar by the published deadline in the Gaston College Calendar. Students who fail to complete a withdrawal form may receive an “F” grade in that class. Sample form: Withdrawal.

Frequently Asked Questions
Q. Can you register me? I can’t get through on the telephone registration system.
A. The telephone registration system has eight phone lines. The peak time is 6:00 a.m. – 10:00 a.m. You may always visit the campus and register in-person. Telephone registration is not available during late registration; during this time you must visit the campus in-person to register. You may register in the Registrar’s Office or in your divisional deans’ office.
Q. Has my transcript from another school been received or has it been evaluated for transfer credit?
A. To see if transcript from another school has been received contact the Office of Admissions at 704-922-6214.

Q. Have you received my transcript request?
A. Contact the Office of Student Records and Registration at 704-922-6231.
Q. How do I obtain a copy of my transcript?
A. The transcript request form is available on-line at www.gaston.edu and the path is Student Resources, Student Services, Provided Services, Registration and Records Office and then scroll down to find the transcript request form. Or a student may come to campus and complete the form we have in the office. Transcripts requests may be faxed to 704-922-2344 or mailed to Gaston College Registrar’s Office, 201 Highway 321 S, Dallas, NC 28034.
A. There is a $5 charge for each official transcript. Student copies are available at no charge. Student copies may also be obtained from WebAdvisor. Access WebAdvisor from the Gaston College home page and follow the instructions.
Q. Has my application been received?
A. Call the Office of Admissions at 704-922-6214.
Q. What are your office hours?
A. Monday-Thursday: 8:00 a.m. - 6:00 p.m., Friday: 8:00 a.m. - 5:00 p.m.
Q. When is tuition fee due for fall semester?
A. Payment deadlines are available on the Academic Calendar. Go to the Gaston College web page, www.gaston.edu and the path is Student Resources, Academic Resources and then Academic Calender.
Q. Will I get a copy of my fall schedule in the mail?
A. No. You may pick up a copy of your schedule in the Registrar’s Office in the Myers Center. A picture id is required to obtain a schedule. Or you may get a copy from the Internet, access WebAdvisor and follow the instructions.
Q. When do fall classes start?
A. The first day of the semester is August 20.
The last day of the semester is December 14.
Q. When will grades be available?
A. Grades are due to 24 hours after the final exam. Grades are available on WebAdvisor as soon as the instructor posts them.
Q. What is my student ID#?
A. Access RGN. Enter the student’s social security number, top of page is ID#, cancel out of the system by using the red X.

Yes? See your advisor for a PIN
Q. Will you check to see if a class is filled?
A. Datatel: SSUM, Enter DEPT and Course Number (Example: MAT 161), When courses are displayed enter 2007FA in start date and all fall sections will be listed

A. Check to see if their transient study letter is here.
If it is give them their PIN from Datatel PPIN.
